Minutes of the 1st Executive Meeting 2020, AFOMP

The 1st AFOMP executive committee meeting in the year 2020 was held on 11 February, 2020 at 10:00 GMT through Skype virtually. Prof. Dr. Arun Chougule, President, AFOMP presided over the meeting. The following members participated in the virtual meeting:

Agenda-01: Upcoming AOCMP 2020 conference in Thailand
Discussion:
The members has discussed the date for announcement of travel award notice, Travel awardees, meetings (EXCOM, Council ) etc for next upcoming conference AOCMP 2020 in Phuket, Thailand.
Decision:
- Notification of Acceptance of Abstracts: 25 July on the AOCMP 2020 website
- Announcement of Travel Awards: 30 July 2020
- Last date of application for AFOMP travel awards: 25 August 2020
- Announcement of Travel Awardees: 29 August 2020
- Excom meeting: 8 October 2020 followed by Lunch
- Council Meeting: 9 October 2020 in the evening
- Valedictory and award giving Ceremony: 10 October 2020
Agenda-02: Prof. K. Inamura Oration
Decision:
- This time for Prof. K. Inamura Oration award, AFOMP members will be invited to provide nominations in the month of May 2020 instead of the month of June 2020.
- SG will email the criteria to all EC and committee members for nomination purpose.
- Once the nominations are received, the awards committee will evaluate all nominations and will make a recommendation to AFOMP EXCOM. After its approval, the decision will be communicated to the awardee as well as to the organizer for necessary arrangements.
Agenda-03: AFOMP Fund and Collaboration
Discussion:
Thanks to President AFOMP Arun for collection of 5000 USD corporate funding, from PTW each and Sun nuclear. The funding process of Rosalina from India is in final stages. According to President, Rosalina would like to transfer to a registered organization. As AFOMP is not registered yet, he has arranged through government of India to collect the fund. A common letter has been prepared by GS AFOMP and VP Eva, AFOMP for inviting the local and foreign companies to be a corporate member. Arun has contacted the organizers of the particle therapy conference to be held in May in Taipei, Taiwan (https://www.ptcog59.org/) to ask them for potential collaboration with AFOMP for this meeting and particle therapy activities in Asia. Unfortunately, Arun did not get any positive response from the organizers. Further, Arun has discussed with the AFOMP Past President, if possible, to manage AFOMP corporate membership for companies from S. Korea.
Decision:
- Companies list has been already circulated to the Excom and committee chairs. All are requested to include companies of their own country or any.
- Companies are being invited to become AFOMP corporate members.
- Members are requested to invite their local companies for a single funding contribution or to be a corporate member.
- Eva suggested that she will contact Kwan to contact a person from the PTCOG59 organizers to see what involvement and partnership AFOMP could have in the meeting. Arun already has informed that the meeting is postponed to 6-11 September 2020, so AFOMP has chance for the participation.
- AFOMP website has already given space/advertisements for those companies who have provided funding to AFOMP. One full-page advertisement in the AFOMP newsletter will also be given for the period of five years.
Agenda-03: Women session in AOCMP 2020
Discussion:
VP, AFOMP has raised that a women medical physics session could be arranged at the AOCMP 2020, Thailand.
Decision:
• President and other members support this. GS, Anupama and VP Eva will contact the organizer to have this session and also GS will ask all NMOs for their active participation. It will be highly privileged to those countries who have never participated in previous AOCMP conference sessions for women medical physicists in the last 2 years.
Agenda-04: Collaboration between AFOMP and AAPM in the future
Discussion:
Due to unavoidable circumstances the Past President, AFOMP Tae Suk could not attend the Skype meeting. As such he has informed the EXCOM through email that he has approached to AAPM President to have collaboration between AFOMP and AAPM in future. Regarding this, he asked the ExCom to discuss the ways of potential collaboration between AAPM and AFOMP.
Decision:
- AAPM can participate in AOCMP and organize one AAPM session/ workshop/teaching session
- AAPM can facilitate 05 days workshop on a specific topic in collaboration with AFOMP and interested NMO every year other than at the AOCMP. AAPM should take care of faculty and travel, the local organizer can take care of local hospitality.
- AAPM can facilitate the training of Medical Physicists from AFOMP region for 3 – 6 months in the US on a specific topic of interest.
- Each year AAPM calls for projects, this can be also extended to AFOMP countries.
Agenda-05: Update of NMO Contact
Discussion:
It has been discussed that till now many NMOs emails are bouncing back, even though several reminders were given through email to update the contact details. This was also discussed during the last AFOMP council meeting in Australia.
Decision:
• GS, AFOMP will send all the NMO contacts to Secretary IOMP for cross checking.
Agenda-04: AFOMP Meeting in Each NMO Annual Conference
Suggestion:
President has suggested that during each NMOs annual conference there should be an AFOMP session for more visibility of AFOMP activities to the respective NMO members.
Decision:
• Arun has requested Jin to arrange an AFOMP session in the China conference as well as others.
Agenda-07: Miscellaneous
All NMOs will be informed the following issues
- To celebrate IDMP week during 11-15 May, 2020
- To submit articles, news, events for the AFOMP Newsletter
- To circulate information of their activities on the AFOMP website, through AFOMP website administrator.
- To arrange an AFOMP session in NMO conferences.
All the aforementioned decisions are approved unanimously. The meeting was ended with thanks to every member.
